An AI agent that books your doctor appointment over the phone

Most doctor's offices still schedule by phone. Book's AI agent makes that call for you: it works through the office's phone menu, asks the front desk for the visit you want in the times you gave it, answers their routine questions and texts you what was scheduled. You text it once and skip the call.

Example text“Book a yearly physical with Dr. Nguyen at Riverside Family Medicine, any weekday morning. Existing patient, Aetna.”

What the call can sound like

An illustration. Real calls vary with the business.

  1. Office“Riverside Family Medicine, how can I help you?”
  2. Agent“Hi, I'm calling for Sam Lee to schedule a yearly physical with Dr. Nguyen. Sam is an existing patient.”
  3. Office“Sure. Can I get the date of birth?”
  4. AgentGives the date of birth from your text, only because they asked for it.
  5. Office“I have Thursday at 9:30, or next Monday at 2.”
  6. Agent“Thursday at 9:30 works. Could you put that down for Sam Lee?” Then thanks them and hangs up.

How it works

  1. 1

Text the office and the visit

The doctor or practice, the type of visit and the days and times you can do.

  2. 2

Check what the agent will say

Book repeats your details, including new or existing patient and insurance, and you reply YES. Nothing is dialed before that.

  3. 3

The agent calls and you get the time

It books a slot that fits what you said, or asks what is open and texts you the options.

What to put in your text

  • The doctor or practice and the city or street, so the right office is called
  • The reason in a few words: a checkup, a follow-up, a rash, a form to be filled in
  • New or existing patient
  • Insurance provider, or self-pay
  • The days and times you could do, and how flexible you are
  • Your date of birth, if the office will likely ask for it to find your chart

Good to know

  • The agent only says your date of birth, insurance or other details when the office asks for them, and only what they ask for.
  • If the office asks something it wasn't given, it doesn't guess. It asks whether it's needed, offers to call back with it and texts you.
  • It doesn't commit to times you said don't work. If nothing fits, it asks what is available and texts you the choices.
  • This is not for emergencies. If you need urgent help, call 911 or your local emergency number.
  • Book is a scheduling helper. It doesn't give medical advice, and it doesn't talk to the office about symptoms or test results.

Questions

Will the office know it's an AI?

The agent says so plainly if anyone asks whether it is an AI or a real person. If the office would rather not deal with an AI, it offers your callback number and ends the call politely.

Can it book a new-patient visit?

Yes, if the office takes new patients by phone. The agent says you're new and the office may ask for insurance or a few forms. It texts you what they need.

What if the office needs a referral first?

The agent asks the office what is required and texts you, instead of booking something that may be refused.

Is my health information safe?

Details like a date of birth or insurance are used only for your request and masked in Book's records once it finishes. The privacy policy has the full picture.
